They belong together
Even if it seems strange, document management and conversations have always gone together. Anybody who has worked on a document is familiar with the conversations that go into taking a draft all the way to a finalized and approved version. Whenever you hear about “living” documents, you know somebody will be talking about the content, commenting on the style, and suggesting additions, and might even disagree with the entire message.
The document on it’s own
Document management in itself is very useful in the process of creating documents. Version management, access rights, storage, delivery, and other document – or dare we say FILE – management features have their place in today’s companies. In today’s world, IT departments have installed and run all kinds of document, resource and shared file management systems to ensure compliance with internal and external standards and meet the needs of users. Some have opted for the “free at first” approach by some editors; others have decided to adopt turn-key solutions to meet the needs of their enterprise. However, while focusing on the document, they have missed something very important.
Adding the conversation to document management..does it work?
Where is the know-how, intelligence, and expertise that went into creating and revising the documents stored in their Document Management System? Can the document management system accurately explain the differences between version 1.1 and 1.2 of the same document? Sure, it might be able to show you the added text, removed test and edits made. But can it tell you that the changes were brought about during a discussion over coffee?
The document management systems have been struggling with how to capture the conversation. Trying to bring the conversation into the document management system is one way of harnessing the power and knowledge found in conversations. But there is a lot of “road kill” on the way to reaching this…. expensive development projects, partial successes and some big failures.
Turning the tables and bringing document management to the conversation
Now how about bringing Document Management to the conversation? By integrating all of the market-leading DMS and making it available in enterprise social software, we are bringing the documents to where the conversations are taking place. Sure, the DMS still manages the storage, versioning, and access, but you are bringing the document to the conversation. Now you have version 1.1 and 1.2 and you can also see the insight and though process that made it happen… all in the same place.
